Legal Receptionist

FIRM SUMMARY
SATC is a small law firm located in the Chicago Loop. Currently, SATC has 5 partners and 3 associates. We provide commercial real estate, business, estate planning, litigation and insurance law guidance.

GENERAL SUMMARY
Our law office is seeking a friendly and organized Legal Receptionist to manage our front desk. In this role, you will answer and redirect phone calls when necessary, greet clients and other visitors at the office when they arrive, and take accurate messages for attorneys and other staff. Daily tasks include, sorting and distributing mail, organizing client files, and assisting with other administrative duties. The candidate must possess excellent organizational and proofreading skills, attention to detail, ability to prepare correspondence, and excellent written and oral communication skills. The essential job duties for this position include answering phones, file maintenance, data entry, proofreading, and other essential functions set forth below. We offer medical insurance, 401(k) and other benefits. Legal experience is a plus but not required.

ESSENTIAL FUNCTIONS

• All functions must be performed following SATC’s Covid-19 guidelines and procedures and all attorneys and staff must follow all recommended CDC guidelines

• Answering, screening, and forwarding phone calls in a professional manner

• Responding to or forwarding client questions to the appropriate department

• Greeting clients and visitors in a friendly manner and determine the reason for their visit (?)

• Preparing meeting facilities, and arranging refreshments, if required

• Observing business etiquette, and maintaining a professional appearance

• Directing the flow of mail, faxes, and deliveries to reach the intended recipients. Prepare outgoing mail, email and faxes, and utilizing messenger services if needed, making sure all attachments, exhibits and enclosures are included.

• Maintenance of electronic files (Worldox), databases and paper files, ensuring they are up to date and maintained in accordance with firm standards and procedures

• Manage office supplies

• Assisting with copying, scanning, faxing, and emailing

• Must be proficient in Microsoft Outlook, Word, Excel and Access

• Must possess excellent communication and interpersonal skills

• Must be detail oriented with ability to proofread, multitask and establish priorities

• Must have ability to work independently and as a team member as appropriate

• Must be flexible and adapt to evolving work responsibilities

• Must have excellent typing and computer skills, with a strong focus on detail and accuracy

• Must be willing to learn document management and filing software

• Must be able to work Monday thru Friday, 8:30 a.m. to 5:00 p.m.

• Minimally, must have a high school diploma or GED

Since we are a small firm, we ask that everyone help as needed with various collective tasks, such as light cleaning of work areas, keeping the kitchen clean, sanitized and stocked, using the paper shredder, answering the door and phones, and other common courtesies which help create a positive work atmosphere.

PHYSICAL REQUIREMENTS: While performing the responsibilities of the job, the employee is often required to talk, hear at normal speaking levels, sit and use their hands and fingers to type, handle or feel, including repetitive motions with the wrists, hands and fingers. The employee is occasionally required to stand, walk, and reach with arms and hands, this is a sedentary position involving sitting most of the time. Employee may be required to walk or travel to locations to physically file and/or deliver documents to the court, opposing counsel and/or client(s). Vision abilities required by this job include close vision for extensive computer use, reading and visual inspections.

ENVIRONMENTAL FACTORS: While performing the duties of this job, the employee is primarily in a general office environment. The noise level in the work environment is usually quiet to moderate. The position is not substantially exposed to adverse environmental conditions.

TRAVEL REQUIREMENTS: Minimal travel required. We do ask personnel to complete errands in the loop area including trips to the courthouse.
